Events Coordinator Description

This position will provide support to the Conference and Events Director, WE Local Manager and WE Global Manager who manage the Annual Conference (12,000+ attendees) and WE Local national and global conferences. This position must be able to handle multiple tasks while working with others including members, non-members, corporate partners, and other organizations to assist SWE in meeting identified professional excellence goals. This position reports to the Director of Conference & Event Services.

Summary of Duties

 Annual Conference/WE Local/Global

  • Support logistics for programs, special events, business meetings, speaker management, and other areas
  • Coordinate with third party vendors on exhibits, housing, registration, services, marketing for WE Annual Conference
  • Assist with registration logistics for WE Local conferences both pre-conference and on-site
  • Coordinate post-conference activities including tabulating conference evaluation forms, preparing post-conference reports, assisting with collecting receivables, processing payables, and any other post-conference activity
  • Assist in generating, concepting, and proofing digital and print content, some writing will be required
  • Assisting in planning various committee, conference committee planning and other business meetings where needed
  • Collect and input data for speakers, mobile app, and other activities, as assigned
  • Coordinate exhibit layouts and collect sponsor required information (WE Local US and Global)
  • Participate in committee meetings and calls
  • Other duties as assigned

Overall/Administrative 

  • Assist with general office tasks including data entry, customer phone calls, filing, conference call setup, organization, shipment, and other general office work needed to support the overall operation of the conference and events department

Qualifications

  • Bachelor’s degree or three years of equivalent event/exhibit/meetings/conference experience; preferred minimum two years’ experience supporting event/exhibit/meetings/conference department or personnel
  • Proficient in the use of computers and advanced knowledge of Microsoft Office, specifically Excel, PowerPoint, Adobe, and Word
  • Mobile app, website knowledge and association software or related programs a plus--training will be provided on association software
  • Strong interpersonal skills
  • Excellent oral communication and writing skills
  • Ability to build working relationships on different levels with leaders, students, members, staff, and vendors
  • Travel required
